About the Role:

We are seeking a highly capable, proactive, and detail-obsessed operator to manage the full external-facing pipeline for our CEO’s speaking, podcast, and thought leadership initiatives. This role sits at the intersection of communications, production, and executive operations—ensuring that the Dr. Kyra Bobinet (“DKB”) brand grows strategically and every related project runs with precision.

You will work closely with the founder/CEO, Dr. Kyra Bobinet. You will own the pipeline of all her events and podcast opportunities, and serve as the hub for DKB-related projects and assets. You will run operations for our podcast and serve as the central coordinator for DKB initiatives –owning timelines, guests, assets, and cross-functional alignment. This is an ideal role for someone with executive support experience, and/or a PR/media background, who knows how to move fast, think ahead, write exceptionally well, and execute flawlessly.

Core Responsibilities

Pitching, Booking, and Pipeline Building

  • Source, vet, and prioritize fitting conferences, webinars, podcasts, and speaking opportunities
  • Write highly persuasive applications and submissions calendar, track statuses, and maintain an organized and actionable pipeline.
  • Handle end-to-end outreach and booking with hosts, producers, and organizers.
  • Draft and update bios, abstracts, pitch materials, speaker pages, prep docs, and talk outlines.
  • Manage run-of-show, briefing materials, day-of execution, and post-event follow-up and amplification.
 
Podcast Operations
  • Oversee all logistics for the January 2026 launch and ongoing episodes.
  • Source and coordinate guests; manage scheduling, intake, prep materials, and follow-through.
  • Create prep materials and coordinate with internal stakeholders.
  • Engage confidently with hosts, organizers, partners, and internal leaders on behalf of the CEO.
 
Executive Support and Project Management 
  • Proactively manage the CEO’s calendar, prioritizing high-value opportunities, recommending optimal scheduling windows, anticipating conflicts, and creating space for deep work.
  • Able to ‘manage up’ by surfacing priorities, proposing solutions, and keeping the CEO focused on the highest-impact tasks and opportunities.
  • Manage all logistics for CEO events: travel holds, flights, hotels, AV coordination, and on-site support as needed.
  • Serve as a gatekeeper to protect CEO time, focus, and strategic priorities.
  • Provide administrative support where needed to accelerate DKB-related projects (contracts, scheduling, document prep, expense coordination).
 

Desired Background And Experience

  • 2–4+ years as an EA, media/PR coordinator, podcast producer, events coordinator, or similar hybrid operational role.
  • Exceptional writing and communication skills.
  • Strong judgment, highly proactive, and obsessive attention to detail.
  • Experience interfacing with executives, hosts, producers, and external partners.
  • Thrives in a fast-moving, entrepreneurial environment with shifting priorities.
  • California Bay Area-based; able to travel to the Santa Cruz Mountains HQ as needed.
  • Ready to start quickly to support the upcoming podcast launch.

Our compensation reflects the cost of labor across several US geographic markets, and is based on a number of factors including but not limited to market location, job-related knowledge, skills, and experience. The competitive base pay for this position ranges from $75,000/year, up to $90,000/year, plus benefits, bonus, and equity.
